Brightspace – SKA Enrolment Workaround

Background:

Additional Details of a Trainee is added under user attributes.

SKA details are captured under user attributes.

To check user attributes:

Go to Brightspace.

Click the cog on the right side and select user attributes.

Then under user attributes, search a user with their name

Click on “View details” under the user attribute field.

In the image below the CKA Subject must have a value (i.e., must have a subject name) else SKA mapping and auto enrolment will not happen.

The file we upload passes any user that was updated in the last 24hours (this includes new user and an existing user whose information was updated) as their key programme information, so that they can then get auto enrolled on courses on Brightspace. The fields that pass are Programme, Cohort, Phase of education, Subject, SKA /CKA Subject, NPQ Level.

The File Upload Method:

The files which will be received via email from Marko each morning.

Go to user attributes.

Under user attributes, click on bulk attribute upload.

Select upload and upload the file.

The file will start to validate and this takes some .

ERRORS DURING FILE UPLOAD:

There could be several issues basically file format issues that occur during the file upload:

Wrong number of cells in row -> Please go to the excel file, delete this row (for example row 501 from excel file), then save as in CSV file and then re upload.

The column “” is not allowed with the given definations – this is an header issue which would mean the Header row is duplicate in the entire file.

Go to excel file search with the any name from header like search with LMS username; multiple records will show up, they will be duplicate records, please delete them, resave the CSV file and then re upload

User does not exist – This means that their account has not been created yet or could be duplicate records. Please delete these records and resave as CSV and then reupload

Please note: Do not save excel file via Ctrl S, please go to file and save as CSV file every time when changes are made to the excel file. The upload only accepts CSV files, so please ensure that files are in CSV format.
