How to use the Zoom Outlook plugin and scheduling Zoom Meeting
This guideline will demonstrate how to go through the step by step process of scheduling a Zoom meeting within the Outlook desktop app.
Scheduling a call - Outlook Desktop App
Step 1 – Open your Outlook desktop app and navigate to your calendar. Next click on new appointment (located at the top left your screen).
Step 2 – A new window will open which will allow you to schedule a meeting. First enter the start and end time of your meeting then click the Add a Zoom meeting button. The option to schedule a Zoom call will be located at the top right of the menu ribbon as illustrated in the screenshot below.
Please note if this is the first time you are scheduling a meeting in outlook using the Zoom plugin you will be asked to sign into Zoom.
Use your Zoom account email address and password to sign, click the stay signed in option to remain signed in whenever you use the outlook desktop app.
Step 3 – After clicking the Add a Zoom meeting button your meetings join information will be added to the body of the email as illustrate below.
If you’d like to change the settings for your Zoom call click the settings button located at the top right of the menu ribbon as illustrated in the screenshot below.
This will open a window to the right of your screen allowing you to edit your Zoom meeting settings.

Congratulations you're done! Enter a friendly message into the body of the meeting invitation and then click send.
Personal Meeting ID (PMI)
Your Personal Meeting Room is a virtual meeting room permanently reserved for you that you can access with your Personal Meeting ID (PMI) or personal link, if applicable. You can start instant meetings with your PMI, or you can schedule a meeting that uses your PMI.
Your Personal Meeting Room is ideal for use with people you meet with regularly. However, because it is always accessible with the same meeting ID and personal Zoom link, it should not be used for back-to-back meetings or people you do not meet with regularly. Once a participant has the link to your PMI, they can join it at any time the meeting is in use, unless you lock the meeting or use the Waiting Room feature to admit participants individually.
